On-Site Interpretation Service Request

To request our on-site interpretation service, you can complete the Interpretation Service Request Form or Contact US. Indicate the language pair to be interpreted, the nature and purpose of the assignment, the subject matter to be discussed, the number of parties requiring interpretation, and particulars of the assignment including date, time, location...etc.

If certain requirements are critical, (e.g. a certified court interpreter is required to appear at a court hearing), these must be stated at time of request. The more details you can provide about your participants (e.g. country of origin, cultural background), the better it would help us find the most suitable interpreter for you.

Interpretation Quote

Upon finding an interpreter who is qualified for your job, we will provide you with a quote based on the specifics of your assignment.

Service Booking

You can make a booking by signing our service agreement and paying a 50% deposit if within five business days of assignment. You are requested to provide detailed address, onsite contact person, emergency contact phone number, and any further details relating to the assignment. When making a booking, you may want to allow for some time at the beginning for briefing the interpreter, introducing parties to each other, and familiarizing all with the interpretation rules. If you are not certain of the exact time when the session ends, it is advisable to book for a longer duration, otherwise the interpreter may have subsequent commitments. As simultaneous interpretation is more taxing on the interpreter, we need to assign at least two interpreters or even three depending on the time duration. It is industry practice that two interpreters are needed to work on a half-day session (four hours) while three will be needed for a full-day assignment.

Preparatory Materials Collection

You are requested to provide, where available, official (or previously in use) translations of the following:
  • Proper names: names of persons company / organization names, position titles, trade names, names of places, names of products / services, and product features...etc.
  • Company taglines, advertising slogans...etc.
  • Highly technical or specialized terminology relating to subject matter.

Where feasible, it would be helpful if you could allow the interpreter to access background information or documents and materials to be presented at the actual assignment forum in advance. Payment & Confirmation

You are asked to pay the balance, if any, of the full amount of service fees at least two days prior to the assignment, based on the booked time period. This serves as final confirmation of the interpretation assignment.

They are many things to pay attention to on the day of interpretation to reap the benefits of the interpretation service. Please refer to Client Best Practices for more details.

Attendance Confirmation

At the end of each day's assignment, the interpreter will request for Client signoff on the number of hours worked. This attendance sheet will be used to calculate remuneration for the interpreter as well as service fees for the Client.

Feedback Form Completion

At the end of each assignment, you will be presented with a service evaluation form, which you are requested to complete and send back to us. We also ask our interpreter to provide us with his/her comments on the assignment and any recommendations.

Final Invoicing

If the actual service hours rendered exceed the booked time, then we will invoice you the extra time.

Throughout the entire process, we keep in touch with you and our interpreter to ensure that requirements are well understood and met, that any changes in assignment particulars are communicated promptly, and that the service is completed to your satisfaction.
